At a large-scale innovation event across 4 simultaneous venues, tracking attendees by booth and session was impossible, making sponsor reporting and real-time operational decisions difficult
Challenge
"Kanagawa Innovators Day 2026 (KID2026)" is a large-scale innovation event hosted by Kanagawa Prefecture. Held simultaneously across 4 venues centered on Kanto Gakuin University's Yokohama-Kannai Campus, it featured pitch contests on 13 social issues, keynote sessions, and exhibition booths. A conventional ticketing platform was initially planned, but its design focused on entrance check-in couldn't track attendees by booth or session — making it impossible to obtain the data essential for accurate sponsor reporting and future event planning.
Solution
Online registration was centrally managed via application forms, with automatic QR code issuance streamlining day-of check-in. The key differentiator — booth-level reception — enabled individual check-in points for each venue and program, providing real-time attendee tracking. This improved sponsor reporting accuracy, informed next year's planning, and enabled on-the-fly staff reallocation based on congestion. Despite mid-preparation adoption, flexible system modifications were delivered rapidly to ensure an optimal operational environment by event day.
