How ZEROCK Is Transforming Event and Seminar Management: Japan's First AI Super-Agent for Marketing Teams

This is Hamamoto from TIMEWELL.

The Problem with Event and Seminar Operations

Marketing teams responsible for events and seminars carry a disproportionate operational load. From initial planning documents and proposal materials, through day-of logistics and session management, to post-event follow-up and analytics reporting — the work is repetitive, time-intensive, and difficult to delegate without quality loss.

TIMEWELL has developed ZEROCK, Japan's first desktop AI super-agent designed specifically for this workflow. This article explains what ZEROCK does, how each function works, and what it means for marketing teams and organizations that run events at scale.

  • AI Slide function: proposal and planning document generation
  • AI Secretary function: proactive scheduling and task management
  • Security architecture and the AI Appointment function

AI Slide Function: One-Click Document Generation

The foundational challenge in event preparation is documentation. Every event requires multiple documents: the initial concept pitch, the detailed planning document, the budget breakdown, the run-of-show, the post-event analysis. Creating these from scratch, adjusting them through multiple rounds of internal review, and then adapting them for different audiences consumes significant marketing time.

ZEROCK's AI Slide function generates these documents on demand, in presentation format, calibrated to the specific stage of the event lifecycle.

At the Planning Stage

At the concept-to-planning stage, the function generates a full planning document that covers market analysis, competitive landscape, budget planning, and risk management. The output is structured for executive presentation and external partner review — not an internal working draft.

The distinction matters: a marketing team member preparing for a budget approval meeting can generate a presentation that reads as professionally produced, without the hours of document production work that would normally precede it.

During the Event

During the event itself, ZEROCK supports real-time document modifications. If an unexpected question arises during a panel discussion, or if the agenda shifts, additional slides can be generated immediately. This removes the constraint that presentation materials must be finalized before the event begins.

After the Event

At the post-event stage, the function generates outcome analysis documents covering attendance metrics, participant feedback visualization, and improvement recommendations for the next event. This documentation, which is typically deprioritized because of workload, becomes automatic output rather than an additional task.

AI Secretary Function: Proactive Scheduling

Scheduling tools that respond to requests are common. A proactive scheduling system that anticipates what is needed before being asked is different.

ZEROCK's AI Secretary monitors the calendar and communication context, then surfaces relevant suggestions based on what it has learned about the user's work patterns.

An example of the proactive behavior: "You have a meeting with [Company] tomorrow. Would you like me to prepare briefing materials?"

The AI has learned the user's prior meeting patterns with that company, the typical agenda structure, and the preparation tasks that have preceded similar meetings. The suggestion is not a generic prompt — it is a contextually informed offer based on observed behavior.

Scheduling

When a request like "schedule 30 minutes with [name] next week — give me three options" is made, the AI considers more than calendar availability. It factors in travel time between meetings, the relationship between adjacent appointments, and optimal time-of-day preferences learned from prior scheduling patterns. The three options offered are optimized, not simply available.

Natural Language Calendar Entry

Complex scheduling instructions — "set a quarterly review at the Tokyo office for the second Thursday of next month with the senior team, conference room A" — are interpreted by the AI and executed in a single step: calendar entry, meeting invitations, conference room reservation, and preparation reminders are all handled automatically.

The AI Secretary learns continuously, building a progressively more accurate model of the user's priorities, communication style, and working preferences. Over time, the support becomes increasingly indistinguishable from that of a dedicated personal assistant.

Security Architecture and the AI Appointment Function

Local Storage as the Default

ZEROCK is built on a local-storage-first security architecture. Business data, customer information, and strategic plans processed by ZEROCK stay within the organization's own systems and are not transmitted to external cloud environments.

This design is specifically relevant for organizations in regulated industries — financial institutions, healthcare organizations, government entities — where information security requirements make cloud-based AI tools difficult to deploy. ZEROCK provides AI capability within a security architecture that these organizations can accommodate.

For organizations that require cloud integration, ZEROCK supports optional internal cloud connectivity, allowing compatibility with existing IT infrastructure without compromising the local-storage default.

AI Appointment Function (Upcoming)

The AI Appointment function, scheduled for a future update, extends ZEROCK's personalization capability to outbound communication at scale.

The core capability: generate and send 1,000 individually tailored messages to 1,000 different recipients — each message personalized based on the recipient's role, industry, and interests.

This is not template-based mail merge. The distinction is the degree of personalization:

At the invitation stage: potential attendees receive messages that reflect their specific professional context and relevant reasons to attend — not a generic event announcement.

After the event: attendees who responded to a survey receive follow-up messages that address the specific issues they raised, including targeted solution proposals relevant to their stated interests. Post-event relationship development, which is typically generic, becomes individually responsive.

After business card exchanges: contacts made at an event can receive follow-up messages that incorporate the content of the initial conversation, positioning the next communication as a continuation of a specific dialogue rather than a generic check-in.

What This Means for Marketing Operations

ZEROCK was developed based on Hamamoto's experience running over 2,000 events and seminars, and delivering over 100 AI agent presentations. The design choices reflect that operational experience: the features address the actual friction points in marketing workflows, not generic productivity gaps.

The capability being built is described as "zero to professional" — enabling less experienced marketing team members to produce output quality that would otherwise require significant experience, while freeing more experienced professionals from repetitive production work to focus on strategic and creative decision-making.

Over 300 users are currently registered on the ZEROCK waitlist, which reflects demand for AI marketing support that integrates with the specific workflow of event and seminar management rather than providing generic AI tools.

Summary

Function What It Does Primary Benefit
AI Slide Generates planning documents, proposals, and post-event analysis on demand Eliminates document production time at every event stage
AI Secretary Proactive scheduling, natural-language calendar management, pattern learning Reduces preparation overhead; improves meeting quality
Local Storage Data remains within organizational systems Enterprise and regulated industry deployment
AI Appointment (upcoming) 1,000 personalized messages to 1,000 recipients Scales relationship-building without sacrificing personalization

For marketing teams managing recurring events and seminars, the operational case for AI integration is clearer than for most other business functions: the work is document-heavy, repetitive in structure, and dependent on personalized communication at scale. ZEROCK addresses each of these specific pain points with purpose-built functionality rather than general-purpose AI tools adapted for the workflow.

China-Related Transactions Export-Control Screening Sheet (fill-in / Export Control Law & Dual-Use Regulations, critical minerals, Control List, 2026)

A fill-in working sheet for companies trading with China: screen a single transaction against China's export-control regime (the Export Control Law and the Dual-Use Items Export Control Regulations), the controls on critical minerals (gallium/germanium/graphite/antimony/tungsten etc./rare earths/helium), and the four counterparty-list systems (Control List, Watch List, Unreliable Entity List, countermeasure lists). A procedure for "what to check before the deal," not a roster of "who is listed." With a plain-language intro, based on MOFCOM announcements. Listing is a regulatory category, not a judgment about any company (including the Japanese firms on the Japan-directed lists); controls change continually, so verify current announcements and consult your officer. Match counterparties using the original simplified-Chinese wording.
