Breaking Free from Inefficient Document Creation: AI and the Future of Research and Documentation
Document creation is an important task required in many business contexts. But looking at the process, there are no shortage of inefficiencies. What steps do most business professionals typically go through to create a high-quality document? Let's begin by aligning on the conventional document creation workflow that many people are likely familiar with, and then clarify the challenges hidden within it.
In general, document creation is thought to consist of five major steps:
Research: The stage of gathering information related to the document's theme and purpose. Collecting necessary data from a wide range of sources—internet searches, internal databases, books and papers, expert interviews, and more. This is one of the most important processes that determines the quality of a document, but it requires time to filter information and verify reliability, making it also the most labor-intensive part.
Organizing Key Points: Extracting and Organizing the Key Points
Organizing Key Points: Extracting and organizing the key points that align with the document's purpose from the vast collected information. You need to see through to the essence within the ocean of information, and narrow down the key points while considering logical connections.
Creating the Structure: The stage of creating the document's overall storyline—the outline—based on the organized key points. You decide on the basic flow of introduction, body, and conclusion, and design what to communicate in each section and in what order. By creating a table of contents and solidifying the overall framework, you lay the foundation for a logical and easy-to-understand document.
Documentation (Text Creation): The stage of actually writing out the text according to the outline. Using the extracted key points and data, you flesh out the content of each section. This involves explaining technical terms, inserting specific examples, citing data, and so on, while writing in a way that is easy for the reader to understand.
Document Production (Design and Formatting): The stage of visually designing the written text and data to be easy to see and understand. Using tools like PowerPoint, Google Slides, or Keynote, you insert graphs and charts, adjust layouts, determine color schemes, and standardize fonts.
Looking at these steps, it's clear that each process requires significant time and effort. In particular, research and organizing key points often account for the majority of time spent on document creation.
However, with the arrival of the AI era, this situation is about to change dramatically. Many of these steps—which humans used to spend time doing—can now be handled by AI or powerfully supported by it.
From Step 1 (Research) to Midway Through Step 4 (Documentation)
From Step 1 (Research) through to midway through Step 4 (Documentation): this is the domain where "Deep Research" features embedded in tools like ChatGPT and Gemini excel. Simply pose the theme or question you want answered, and AI automatically searches and analyzes vast information across the internet, organizes key points based on reliable sources, and compiles it into a structured document. A research and information organization process that used to take hours or days may now be completed in just a few to ten-plus minutes.
From the latter part of Step 3 (Creating the Structure) through Step 5 (Document Production): this is where AI-equipped document creation tools like Gamma shine. Simply feed the document (text data) generated by the Deep Research feature into Gamma, and AI understands the content, proposes an appropriate structure (slide layout), and then automatically generates a polished presentation, complete with design, images, and charts tailored to the content—all in no time. Even without design skills, you can create professional-looking documents quickly.
In this way, combining AI tools dramatically streamlines the document creation workflow. In some cases, AI-generated output has reached a quality that makes you think "an AI could make this better than a human."
Of course, human involvement for final checks, fine-tuning, and adding original perspectives remains important. But using AI as a "highly capable assistant" frees us up to focus on more creative, high-value work.
Practice: A High-Speed Document Creation Demo Using ChatGPT Deep Research and Gamma
Let's take a detailed look at the specific process of automating from research to document creation using ChatGPT's Deep Research feature and Gamma. In this example, we'll conduct research and document creation on the theme of "Predicting the Evolution of AI Tools Over the Next Five Years."
Step 1: Research and Documentation with ChatGPT Deep Research
First, Open ChatGPT
First, open ChatGPT (on a plan that supports the Deep Research feature, such as GPT-4).
Entering the Prompt: Type your research topic into the chat input field. In this case, enter the prompt: "Predict the evolution of AI tools (such as ChatGPT, Gemini, Claude, etc.) over the next five years."
Executing Deep Research: Click the "Deep Research" button (or a similar button) next to the input field. You may then be prompted with something like "What specifically would you like to know?" In this case, simply enter "Up to you" and start the research.
Monitoring the Research Process: Once research begins, a message like "Starting research" appears. Clicking on this opens an "Activity" panel on the right side of the screen, where you can track in real time what information ChatGPT is searching, which websites it's referencing, and how it's developing its thinking. This is a feature not available in conventional ChatGPT, and the ability to visualize the thought process behind the output is very useful for judging the reliability of the results. You can even glimpse the AI going through a process of trial and error much like a human—and it's genuinely impressive.
Research Completion and Output Generation: Deep Research generally takes about 10 to 15 minutes, depending on the content of the prompt. You can work on other tasks while it runs—you'll be notified when it's done. In this demo, the research was completed in about 8 minutes, reading 22 information sources (websites) and generating a document-format output.
Next, use Gamma to create a presentation based on the document generated by ChatGPT Deep Research.
Copy the Text
Copy the Text: Click the copy button at the bottom of the ChatGPT output screen to copy the entire generated text.
Create New in Gamma: Go to the Gamma website and log in. Click the "+ New" button.
Paste the Text: Select "Paste text" from the creation options. Paste the ChatGPT output you copied into the text box that appears.
Select Content to Create: When asked "What do you want to create with this content?", select "Presentation" and click "Continue."
Structure (Card Division): Gamma analyzes the pasted text and proposes a presentation structure (cards = slide layout). You can choose between "Free-form" or "Card-by-card"—select "Card-by-card." When asked "Would you like to split?", click "Yes, split." AI will then judge the content, automatically divide it into appropriate slides (6 slides in this demo), and assign the title and content for each. Adjustments to the split are possible here if needed.
Select a Theme (Design): Once the structure is confirmed, click "Continue." Then a screen to select the overall design theme for the presentation appears. Various templates are available—select your preferred design.
Start Generating: Once you've selected a theme, click the "Generate" button.
Automatic Generation and Completion
Automatic Generation and Completion: Gamma begins automatically generating the presentation based on the selected theme and divided content. Text layout, automatic image generation and insertion (AI may generate images appropriate to the content), and insertion of charts and icons all happen in real time, and a well-presented document is completed in seconds to tens of seconds. The document generated in the demo featured futuristic imagery appropriate to the AI tools evolution theme and automatically inserted charts that organized information clearly—making a very polished impression.
Editing: Text corrections, image swaps, layout adjustments, and adding or deleting cards (slides) can all be done intuitively within Gamma's interface.
Export: The completed document can be downloaded in PDF or PowerPoint (.pptx) format by selecting "Export" from the "Share" button. Exporting as PowerPoint allows you to make further detailed edits in the familiar PowerPoint or other tools like Canva.
Through this combination of ChatGPT Deep Research and Gamma, the entire workflow of "Research → Organizing Key Points → Creating Structure → Documentation → Document Production"—which might traditionally take hours or even days—was completed in about 30 minutes in this demonstration. And the quality has the potential to match or even exceed that of something made by a human over much more time. Of course, final polishing and fact-checking should still be done by humans, but using AI as a powerful partner for creating drafts can dramatically reduce the time spent on document creation and let you focus on more essential work.
How Does Gemini 1.5 Pro Deep Research Stack Up? A Comparison with ChatGPT
While ChatGPT's Deep Research feature demonstrates strong research capabilities, Google's AI model "Gemini" also has a similar Deep Research feature, and interest in its capabilities has grown with the arrival of the latest "Gemini 1.5 Pro" model. Here, let's try Gemini 1.5 Pro's Deep Research feature and explore its characteristics and how to use it effectively, comparing it to ChatGPT.
In the demonstration, we conducted research on the same theme as above—"Predicting the Evolution of AI Tools Over the Next Five Years"—using Gemini 1.5.
Comparing the outputs on "AI Tool Evolution Predictions" generated by ChatGPT and Gemini 1.5 Pro Deep Research, the following characteristics were observed:
Accessibility vs. Specialization: ChatGPT's output avoids technical jargon and explains things in relatively simple language, giving it a more accessible feel for a broad audience. Gemini's output, on the other hand, sometimes uses more specialized terminology, and understanding it in depth may require some prior knowledge.
Format: ChatGPT centers on text-based explanation but uses bold text and similar elements effectively to highlight key points. Gemini makes heavy use of tables in addition to text, making it excellent at data comparison and systematic organization.
Integration: Gemini can open generated output as a Google Document with one click. This allows you to move immediately to editing and sharing without needing to copy and paste.
Research Time and Information Volume: In the demonstration, Gemini took longer and referenced more sites. This may indicate more comprehensive and in-depth research, but that doesn't necessarily translate directly into higher output quality. It seems best to use each based on the depth of information needed and the urgency of the situation.

Conclusion: The Future Work Style Achieved Through Collaboration with AI
This article explained in detail—with concrete demonstrations—how combining two powerful AI tools, ChatGPT Deep Research and Gamma, can dramatically streamline and automate the entire process from research to document creation, which traditionally required considerable time and effort.
The Five Steps of the Typical Document Creation Workflow
The five steps of the typical document creation workflow—"Research," "Organizing Key Points," "Creating Structure," "Documentation," and "Document Production"—are on the verge of major change with the arrival of AI. Deep Research features in ChatGPT and Gemini handle information collection, analysis, and structured document creation in a short time, while AI document creation tools like Gamma automatically convert those documents into polished presentation materials. As seen in the demonstration, combining these tools makes it possible to create a high-quality research report and presentation draft in about 30 minutes.
The comparison of ChatGPT and Gemini 1.5 Pro Deep Research also revealed the characteristics of each tool—ChatGPT for accessibility and speed, Gemini for specialization and table-based organization. Using them according to purpose is important.
Rather than using AI-generated output directly as the final product, treating it as a "working draft" or "excellent assistant" and adding human knowledge, experience, and creativity to polish it further remains the most effective approach at this time. However, by actively delegating to AI what AI can handle, we can focus on the higher-order thinking, judgment, and communication that only humans can provide.
AI technology's evolution shows no signs of stopping. The tools and features introduced today may evolve further in just a few months. In this rapidly changing era, being able to use AI tools effectively is becoming a critical skill that affects not only individual productivity but also a company's competitiveness.
Make active use of AI tools like ChatGPT Deep Research, Gamma, and Gemini, and dramatically improve your daily operational efficiency to realize a more creative and fulfilling work style.
